Refund & Cancellation Policy

1. Introduction

This Refund & Cancellation Policy explains the terms applicable to course enrollment cancellations, refund requests, fee adjustments, payment disputes, and withdrawal from Stratford Academy programs.

By enrolling in any Stratford Academy course, submitting a registration form, accessing learning materials, attending classes, making payment, or using our services, the student acknowledges that they have read, understood, and agreed to this Refund & Cancellation Policy along with our Terms of Use, Privacy Policy, Disclaimer, and any program-specific enrollment terms.

2. About Stratford Academy

Stratford Academy is an online EdTech platform offering professional and career-focused courses in areas such as Data Science, Cybersecurity, Artificial Intelligence, Cloud Computing, DevOps, Full Stack Development, Business, and related technology domains.

Our programs may include live online classes, recorded lectures, learning materials, assignments, projects, mentorship, academic support, resume guidance, interview preparation, and career support where applicable.

3. Registration and Administrative Fees

All registration fees, admission processing fees, administrative charges, technology/platform fees, assessment fees, and learning material charges are strictly non-refundable once paid.

These charges cover internal processing, student onboarding, platform setup, admission review, counselor support, documentation, LMS activation, and administrative resources allocated at the time of enrollment.

Refund requests will not be accepted for non-refundable fees under any circumstances unless expressly required by applicable law.

4. Course Fee Refund Eligibility

A student may request cancellation or refund only within the refund window communicated at the time of enrollment, if applicable.

Refund eligibility depends on the following factors:

  • Date of payment
  • Date of enrollment confirmation
  • Whether LMS access has been activated
  • Whether classes or recorded content have been accessed
  • Whether study materials, assignments, or projects have been released
  • Whether academic, counselor, or career support services have already started
  • Program category, duration, and payment structure
  • Any written agreement or offer terms accepted by the student

Once course access, LMS access, live classes, recorded sessions, learning materials, mentorship, or academic services have been provided, Stratford Academy may deny refund requests fully or partially.

5. No Refund After Course Access or Service Delivery

Refunds will generally not be applicable once any of the following has occurred:

  • Student has received LMS or portal access
  • Student has attended live classes or orientation
  • Student has accessed recorded lectures or course materials
  • Assignments, projects, study guides, or learning resources have been released
  • Trainer, mentor, counselor, or academic support has been assigned
  • Resume, interview, career, or placement-support services have started
  • Program has already commenced
  • Student has delayed, paused, or discontinued participation voluntarily
  • Student has violated Stratford Academy policies or conduct requirements

A student’s non-attendance, change of mind, lack of availability, personal schedule conflict, technical issue at the student’s end, or failure to complete coursework does not automatically qualify for a refund.

6. Cancellation by Student

Students who wish to cancel enrollment must submit a written cancellation request through Stratford Academy’s official communication channels.

The request must include:

  • Full name
  • Registered email address
  • Program name
  • Date of enrollment
  • Payment details
  • Reason for cancellation

Verbal cancellation requests, informal messages, missed classes, or non-participation will not be treated as valid cancellation unless confirmed in writing by Stratford Academy.

Cancellation approval is subject to review and does not automatically guarantee a refund.

7. Cancellation Charges

Where cancellation is approved, Stratford Academy may deduct applicable cancellation charges, administrative fees, payment gateway charges, financing processing costs, technology fees, learning material fees, service charges, or any other costs already incurred.

Depending on the program type and stage of service delivery, cancellation charges may apply after enrollment confirmation, onboarding, LMS activation, or commencement of classes.

The final refundable amount, if any, will be determined after internal review.

8. Instalments, Payment Plans, and Pending Fees

If a student enrolls under an installment plan, deferred payment plan, sponsored payment structure, or partial payment arrangement, the student remains responsible for all agreed payment obligations unless Stratford Academy confirms cancellation in writing.

Failure to attend classes, complete coursework, respond to communication, or use provided services does not cancel the payment obligation.

Stratford Academy may suspend access to LMS, classes, certificates, mentorship, or career services in case of overdue payments.

9. Third-Party Financing and Payment Partners

If a student uses a third-party financing provider, lending partner, payment gateway, bank, or installment service, the financing or payment agreement is governed by the terms of that third-party provider.

Stratford Academy does not control loan approvals, financing decisions, repayment terms, interest, credit reporting, cancellations, chargebacks, disputes, or refund rules imposed by third-party providers.

Cancellation of enrollment with Stratford Academy does not automatically cancel any third-party loan, financing agreement, or payment obligation. Students must directly contact the relevant financing or payment provider regarding their financial agreement.

10. Chargebacks and Payment Disputes

Students are encouraged to contact Stratford Academy first for any billing, refund, cancellation, or payment-related concern.

Filing a chargeback or payment dispute after receiving course access, services, LMS activation, classes, materials, or support may be treated as an improper dispute if the transaction and service delivery records confirm valid enrollment and access.

Stratford Academy reserves the right to submit evidence to banks, payment processors, and financing partners, including enrollment records, payment confirmations, LMS access logs, attendance records, communication history, course materials issued, and policy acknowledgements.

11. Program Changes, Rescheduling, or Batch Transfers

Stratford Academy may allow batch transfers, class rescheduling, course pause, or program changes at its discretion, subject to availability, program rules, trainer schedules, and administrative approval.

Rescheduling or batch transfer is not the same as cancellation and does not automatically create refund eligibility.

Additional charges may apply for program changes, extended access, reactivation, or repeated rescheduling.

12. Cancellation by Stratford Academy

Stratford Academy reserves the right to cancel, postpone, reschedule, merge, or modify any course, batch, session, trainer assignment, curriculum structure, or platform access due to academic, operational, technical, administrative, or business reasons.

If Stratford Academy permanently cancels a program before service delivery begins and no suitable alternative is offered, eligible students may receive a refund of applicable refundable course fees.

Stratford Academy shall not be responsible for indirect losses, personal expenses, lost opportunities, or any consequential damages arising from course rescheduling or cancellation.

13. Refund Processing Timeline

If a refund is approved, it will be processed to the original payment method or another approved method as determined by Stratford Academy.

Refund processing timelines may vary depending on:

  • Internal review and approval
  • Payment gateway timelines
  • Bank processing timelines
  • Financing partner rules
  • Required verification
  • Deduction of applicable charges

Any payment gateway fees, bank charges, currency conversion charges, or financing-related deductions may not be refundable.

14. Non-Refundable Situations

Refunds will not be provided in the following situations:

  • Change of mind after enrollment
  • Student fails to attend classes
  • Student does not use LMS access
  • Student is unable to continue due to personal reasons
  • Student provides incorrect or incomplete information
  • Student fails to meet academic or attendance requirements
  • Student violates conduct, payment, or platform policies
  • Student refuses to complete assignments, projects, or assessments
  • Student expects guaranteed employment, salary increase, promotion, certification approval, or visa outcome
  • Student raises refund request after service delivery has started
  • Student disputes payment without first following the official cancellation process

15. Career Support and Placement Assistance

Any resume support, interview preparation, mentorship, job-search support, or placement assistance provided by Stratford Academy is intended to support the student’s career development.

Such support does not guarantee employment, job placement, salary increase, promotion, employer selection, or any specific career outcome.

Refunds will not be granted solely because a student does not secure a job, does not receive interview calls, fails interviews, does not meet employer requirements, or does not complete the required career-readiness activities.

16. How to Request a Refund or Cancellation

To request cancellation or refund review, students must contact Stratford Academy through the official communication channels listed on the website.

The request should include complete enrollment and payment details. Stratford Academy may ask for additional information before reviewing the request.

Incomplete, unclear, or unverifiable requests may be delayed or rejected.

17. Final Decision

All refund and cancellation requests are reviewed on a case-by-case basis.

Stratford Academy’s decision will be based on enrollment records, payment status, service delivery, LMS access, class attendance, materials issued, communication history, and applicable policies.

The final decision regarding refund approval, rejection, deductions, or credit adjustment shall rest with Stratford Academy, subject to applicable law.

18. Policy Updates

Stratford Academy may update, revise, or modify this Refund & Cancellation Policy at any time. The latest version published on the official Stratford Academy website shall apply.

Continued use of Stratford Academy’s website, courses, LMS, or services after policy updates means the student accepts the revised policy.

19. Acknowledgement

By submitting an inquiry, enrolling in a course, making payment, accessing LMS, attending classes, or using Stratford Academy services, the student confirms that they have read, understood, and agreed to this Refund & Cancellation Policy.
